Common Reasons a Walk-In Stops Holding Temperature

Most walk-in calls trace back to a short list of causes. Knowing which one you are looking at helps you decide how fast you need someone on site.

  • The box is warm and the unit is running constantly. Usually a loss of capacity: dirty condenser, low charge from a leak, or an evaporator that cannot transfer heat because it is iced.
  • The box is warm and the unit is not running at all. A control, a safety switch that tripped, or a failed compressor.
  • The box holds overnight but climbs during service hours. Almost always door traffic, a failed closer, or a gasket that stopped sealing.
  • The freezer floor or door frame is building frost. Heater or defrost problem, or warm air getting in and freezing where it lands.
  • The unit short-cycles. Turns on and off in quick bursts. Often a control or pressure issue, and hard on the compressor every time it happens.

Door Gaskets, Hinges, and Closers

The door is the cheapest part of the box to fix and the most common thing we find wrong.

A gasket that has gone hard, torn, or lost its magnet stops sealing. Warm, humid air leaks in around the clock. The unit runs longer to keep up, the evaporator ices faster, and your energy cost climbs. On a freezer, that leaking humidity is what builds the frost you keep chipping off the floor.

Hinges and closers matter as much as the gasket. A door that no longer swings shut on its own gets left open during a busy prep shift, and nobody notices until the box is warm. We check the sweep, the closer tension, the hinge alignment, and the strike, then replace what is failing rather than shimming it.

We also look at what the door is telling us. Heavy ice on one side of a frame usually means the door is out of alignment, not that the gasket alone failed.

Evaporator Icing and Defrost Problems

The evaporator is the coil inside the box with the fans on it. Ice on that coil is a symptom, not the disease.

A coil ices because it is either getting too much moisture, running too cold, or not defrosting properly. So the question we work is which of the three. That means checking the defrost cycle end to end: the timer or control that starts defrost, the heaters that do the melting, the termination sensor that ends the cycle, and the drain that carries the water out.

Two failures we see often:

  • Defrost never starts. A failed timer or control. Ice builds until airflow stops and the box climbs even though the compressor is running fine.
  • Defrost never ends properly. A bad termination sensor lets the cycle run on time instead of temperature. The box warms during each defrost, and in a freezer that shows up as soft product before it shows up on a thermometer.

Then there is the drain line. A frozen or clogged condensate drain sends water back onto the coil and the floor. In a freezer, a drain line without working heat tape freezes solid and you get ice under the evaporator every time. Clearing the ice without fixing the drain heat buys you about a week.

Condensing Units, Racks, and Compressors

The condensing unit is where the heat leaves. It sits on the roof, outside on a pad, or on top of the box, and it is the part most likely to be neglected because nobody walks past it.

A dirty condenser coil is the single most common cause of a walk-in that cannot keep up in summer. The unit runs longer and hotter, head pressure climbs, and the compressor takes the abuse. Cleaning it is maintenance, not repair, and it is far cheaper than what it prevents.

On the mechanical side we diagnose and repair condenser fan motors and blades, contactors and relays, start components, pressure controls and safeties, and the compressor itself. On larger grocery and multi-box setups running a remote rack, one failure can pull several cases and boxes with it, so we work the rack as a system rather than chasing one warm case.

When a compressor has failed, we will tell you plainly whether repair or replacement is the better spend on that unit. Age, refrigerant type, and what else is worn all factor in.

Refrigerant Leaks

Low refrigerant means a leak. Refrigerant is not consumed the way fuel is, so a system that is low has lost charge somewhere, and adding more without finding the leak means you will be back here.

We look for the leak first, then repair it, then recharge to the system’s spec. Common leak points are flare fittings, brazed joints that have vibrated, evaporator coils damaged by a pallet jack or a cart, and the line set where it passes through a wall.

Temperature Logging and Health-Code Compliance

Your walk-in is a food-safety control point, and the inspector will treat it like one. Washington’s retail food rules set the temperature standards for cold holding, and the state’s food safety rules and regulations point to the code your inspector works from.

The practical part: a box that is drifting rarely fails all at once. It creeps. Logging temperatures gives you the early warning, and it gives you the paperwork if something does go wrong.

A few things worth doing:

  • Log at the same points each day, not wherever the thermometer landed.
  • Trust the product temperature over the wall-mounted dial. Dial thermometers drift, and they read air, not food.
  • Treat a rising log as a service call, not a note. A box that has climbed three degrees over two weeks is telling you something is failing.
  • Keep the logs. If a claim ever comes up, they are your record.

My walk-in is warm. What should I check before I call?

Three things, and they take two minutes. Is the door fully shut, and is the gasket sealing all the way around? Is the condenser coil packed with dust? Is the evaporator inside the box covered in ice? Any of those tells us a lot before we arrive, and one of them may be something you can correct on the spot.

How fast can you get someone out when product is at risk?

Tell us what is in the box and what the temperature is doing when you call, and we schedule by risk. A warm freezer full of inventory moves ahead of a cooler running slightly high.

What does a walk-in repair cost?

It depends on what failed. Door and gasket work is the simplest category. Compressor work is the heaviest. Refrigerant leaks fall in between and depend on where the leak is. You approve the price before any work starts.

Why is my evaporator coil covered in ice?

Ice is a symptom. It usually means a defrost problem, warm humid air getting into the box, or a drain that is not carrying water away. Chipping it off clears the symptom for a few days. Finding which of the three is happening is what stops it.

Do I need a whole new door, or just the gasket?

Often just the gasket. But if the gasket keeps failing in the same spot, or you see ice building along one side of the frame, the door is probably out of alignment and a new gasket will fail the same way. We check the hinges, closer, and alignment before recommending a replacement.

Should I move product out before you get there?

If the box is climbing and you have somewhere to put the high-value items, yes. Otherwise keep the door shut. Every opening speeds up the warm-up, and an unopened box holds temperature far longer than most operators expect.

Do you work on freezers too, or just coolers?
